Introduction

RunBiz ("we", "us", or "our") provides business management software for small and medium businesses. This Privacy Policy explains what information we collect when you use the RunBiz mobile app and related services, how we use it, and your choices.

By creating an account or using RunBiz, you agree to this Privacy Policy. If you do not agree, please do not use the service.

Information we collect

Account information: name, phone number, optional email, profile photo, and password (stored in hashed form only).

Business information: business name, country, currency, industry, office location, geofence settings, and configuration you enter in the app.

Workforce data: employee records, attendance, leave requests, payroll, and HR notes that you or your organisation submit.

Financial and inventory data: transactions, invoices, products, stock movements, and sales you record in the app.

Communications: chat messages, attachments, voice notes, and related metadata within your organisation.

Device and technical data: push notification tokens, app version, and standard server logs (IP address, request timestamps) needed to operate and secure the service.

Device permissions

Location (when in use): used for attendance check-in and setting your office geofence. We do not track location continuously in the background.

Camera and photo library: used to set your profile picture and to send photos or videos in chat.

Microphone: used to record voice messages and video with audio in chat.

Files and media library: used to attach documents in chat and, when you choose, to save media from chat to your device.

Notifications: used to alert you about messages, HR actions, inventory alerts, and other activity when you are not actively using the app. You can disable notifications in your device settings.

How we use information

We use your information to provide, maintain, and improve RunBiz; authenticate users; sync data across devices; deliver notifications; enforce access permissions within your business; and respond to support requests.

We do not sell your personal information. We do not use your data for third-party advertising.

How we share information

Within your business: data you enter is visible to other members according to the roles and permissions set by your business owner or administrators.

Service providers: we use trusted infrastructure providers to host the API, database, file storage, and push delivery (including cloud hosting, MongoDB, object storage, and Expo push services). These providers process data only to perform services on our behalf.

Legal requirements: we may disclose information if required by law, court order, or to protect the rights, safety, and security of users and the public.

Data retention and security

We retain your data while your account is active and as needed to provide the service. If you delete your account or leave a business, we will delete or anonymise data in line with our retention practices and legal obligations.

We use industry-standard safeguards including encrypted transport (HTTPS), hashed passwords, access controls, and private cloud storage for uploaded files. No method of transmission or storage is 100% secure.

Your rights and choices

You can update your profile, notification preferences, and many business settings in the app.

You can revoke device permissions in your phone's system settings; some features may not work without them.

Depending on your location, you may have rights to access, correct, or delete personal data. Contact us at support@runbiz.app to make a request.

Children

RunBiz is intended for business use and is not directed at children under 16. We do not knowingly collect personal information from children.

Changes and contact

We may update this Privacy Policy from time to time. We will post the updated version in the app and update the "Last updated" date above.
